Less is More with Most Accounting Software

With each new release of accounting software packages and subsequent accouning software comparison and reviews, it seems that developers get so caught up in trying to have the most features that they lose sight of the real goal - having good software.  Granted, having more toys to play with can be good, but so much functionality can create a "paralasis by analysis" situation.  At some point, having too many bells and whistles makes the software too cumbersome to use and gets in the way of productivity.

The goal of using accounting software should be to make operations more efficient.  With more features come more potential interruptions and more potential to use the wrong piece of a software package to complete a task. 

Finding the right balance between available bells and whistles and usability is no easy task.  However, when one finds a piece of software that is easy to use and functional, the benefits are seemingly endless.

One area of accounting software where it is tempting to always go for the most features is payroll.  Business owners wrongfully assume that having the most robust payroll package available will translate to the most efficient processing and analysis of payroll.

However, this is not always the case.  All companies will want payroll software that can print checks, automatically process payroll on certain days of the month, and handle taxes.  For some companies, this is all they need.

If you get software that has more payroll features than you need, it can get in the way of your ability to perform the basic functions mentioned above. 

Another potential pitfall with sofware that has too many features is that as more functionality is added, less emphasis is placed on basic functions.  Would you rather have software that does the few most important tasks very well or software that does a lot of tasks, some more important than others, only slightly well?

Your accounting software shouldn't create more problems than it solves, yet that is exactly what some complex software does.

Therefore, it is imperative that you know what you need from new accounting software when you begin your search.  Seek out the software that does what you need it to do well and won't get bogged down with extra features that you never use.  Software with the most features provides an easy marketing campaign, but often delivers minimal benefit to the end user.

Think of selecting new software like hiring a new employee.  When you are looking for a new employee, you make a list of qualifications and stick with it.  Chances are you are not going to consider an employee that doesn't meet those qualifications, no matter how many extra qualifications they have.  The same can be said about selecting new accounting software.
